Ongoing governance and risk assurance

Regular reviews, site involvement, and reporting that help Duty Holders and Responsible Persons demonstrate control, compliance, and audit readiness.

Multi-disciplinary expertise in one retained service

Integrated oversight across your highest-risk compliance areas, reducing fragmentation and ensuring consistent standards across your estate.

Clear reporting and senior-level visibility

Structured updates and annual compliance reporting that give boards and senior leaders confidence in performance, emerging risks, and required actions.

What is a retained Authorising Compliance service?

A retained Authorising Compliance service gives your organisation continuous access to independent, senior-level expertise across your highest-risk compliance areas.

Rather than relying on one-off reviews or reactive consultancy, Assets & Compliance Managed Services UK provides ongoing oversight, challenge, and support. We help you establish robust systems of work, review performance, and make defensible compliance decisions aligned with legislation and recognised best practice.

This creates a clear line of governance and accountability, supported by evidence and expert judgement.

Who is this service for?

Our retained Authorising Compliance service is designed for organisations with complex estates and high regulatory exposure, including:

  • Duty Holders and Responsible Persons with personal accountability
  • Estates, facilities, and compliance leaders managing multiple sites
  • Organisations relying on multiple contractors and service providers
  • Boards and senior teams seeking independent assurance and oversight

It is particularly valuable when internal resources are stretched or when senior leaders need confidence that compliance risks are actively controlled.

Compliance risk areas we support

Our retained service provides integrated governance across the three areas that carry the greatest organisational and personal risk:

  • Fire Safety – Independent oversight aligned with the Regulatory Reform (Fire Safety) Order 2005, including support with fire risk assessments, policies, systems of work, and enforcement interactions.
  • Water Hygiene and Legionella Control – Compliance governance in line with ACoP L8 and HSG274, covering risk assessments, control schemes, contractor performance, and Water Safety Group support.
  • Asbestos Management – Expert oversight supporting CAR 2012, including asbestos surveys, registers, reinspection programmes, and contractor assurance.

This joined-up approach ensures consistent standards across your estate.

How the retained service reduces risk and pressure

By embedding expert oversight into your compliance arrangements, the retained service helps you:

  • Identify and address issues before they escalate
  • Reduce reliance on reactive or fragmented consultancy
  • Strengthen governance and audit confidence
  • Support Duty Holders and Responsible Persons with clear, defensible advice
  • Demonstrate control to regulators, auditors, and senior leadership

Digital compliance tools support this process by improving visibility and reporting, but expert governance remains at the core of the service.

Frequently Asked Questions

No. The retained Authorising Compliance service does not replace your fire risk assessors, water hygiene contractors, or asbestos consultants. Instead, it provides independent oversight of their work. We review reports, challenge findings where necessary, monitor performance, and help ensure that recommendations are appropriate, proportionate, and implemented correctly. This gives you confidence that contractor activity is being properly governed rather than simply accepted.

Site involvement is agreed at the outset and tailored to your estate, risk profile, and governance structure. This may include quarterly or biannual site visits, attendance at safety or risk meetings, and ongoing remote support. The service is flexible and can be adjusted over time if risks change, estates expand, or regulatory scrutiny increases.

Yes. Where required, Assets & Compliance Managed Services can act as your retained Authorising Engineer or Compliance Consultant, providing a named, accountable individual to support Duty Holders and Responsible Persons. This includes offering independent advice, participating in governance forums, and supporting compliance decisions that may be subject to audit or regulatory review.

The retained service is supported by the Vision Pro Software compliance management platform, which provides a central location for compliance records, live risk visibility, and structured reporting. The system supports governance by improving transparency and control, but it does not replace professional judgement. Expert oversight and advisory support remain central to the service.

Yes. The retained service is designed to reflect the size, complexity, and risk profile of your organisation. Scope, visit frequency, reporting arrangements, and optional support such as incident response or additional reviews can all be tailored. This ensures the service delivers meaningful assurance without unnecessary cost or complexity.

What people say

We started using Vision to transfer our fire log book records from paper to electronic.  Vision is flexible enough for the audit forms to replicate the paper version and was therefore very simple for our store teams to switch.  This provided us real time information on compliance but also cut down on excessive use of paper.

The transition was so successful that we transferred all our Health and Safety audits and inspections onto the same Audit software platform.”

Vision has revolutionised the way asbestos data is stored and utilised within the organisation. We are now able to provide surveyors and contractors with remote access to the system which enables them to directly update the data on site. Previously we received the documents in PDF format and someone had to manually transfer the information onto the server based system.

As part of the process Assets & Compliance Managed Services conducted a full data cleanse of all the asbestos management documents to ensure the quality of the existing data.  This helped us to quickly identify any gaps or errors, allowing necessary works and surveys to be scheduled more productively.

We now manage and maintain our emergency lighting across the campus via the Vision-tag. Our Maintenance Department simply scan the tag using a mobile device and are able to view and/or edit the data presented at site level.

It gives us a comprehensive and immediate overview and with the uploading of schedules and documentation, Maintenance are always in complete control of these assets and their operational status
