Managing sustainability and environmental risk across buildings, assets and estates
Sustainability is no longer just a corporate objective. For organisations responsible for buildings, infrastructure and estates, it represents a growing operational, compliance and governance risk.
Sustainability risk management is the structured process of identifying, assessing and controlling environmental risks that arise from the operation, maintenance and use of buildings and assets. Increasing regulatory scrutiny, rising energy and resource costs, and greater expectations around transparency mean these risks now require the same level of oversight as fire safety, health and safety, or statutory compliance.
Assets & Compliance Managed Services provides a centralised sustainability management system that enables organisations to manage environmental risk consistently, maintain accountability, and evidence control across their entire portfolio.
What is sustainability risk management and why does it matter?
Sustainability risk management brings together environmental performance, compliance obligations and governance responsibilities into a single, structured approach. Assets & Compliance Managed Services supports organisations by providing a structured sustainability risk management service aligned with wider compliance, asset and governance responsibilities.
For organisations managing buildings and estates, sustainability risks typically relate to:
- Energy use and carbon performance
- Water consumption and efficiency
- Waste management and resource use
- Environmental compliance and reporting
- Asset performance and lifecycle impact
These risks are often spread across different teams, suppliers and systems. Without a coordinated approach, data becomes fragmented, ownership is unclear, and organisations struggle to demonstrate control, respond to audits, or meet sustainability and compliance reporting requirements.
A structured sustainability risk management approach ensures environmental risks are identified early, responsibilities are clearly defined, and performance can be monitored and improved over time.
What environmental risks need to be managed?
Effective sustainability risk management depends on understanding the specific environmental risks associated with buildings and assets. These can include:
- Energy and carbon risk – Uncontrolled energy consumption, inefficient systems and limited performance data increase operational costs and carbon exposure. Without accurate monitoring and accountability, it becomes difficult to manage or demonstrate improvement.
- Water management risk – Leaks, inefficient systems and poor visibility of water usage create both environmental and financial risk, particularly across large or complex estates.
- Waste and resource management risk – Inadequate oversight of waste streams, contractor practices and recycling activity can lead to non-compliance and missed opportunities to reduce environmental impact.
- Environmental compliance risk – Environmental obligations are often complex and evolving. Poor record keeping, inconsistent processes and weak audit trails increase exposure to enforcement action and reputational damage.
- Asset lifecycle and performance risk – Buildings and assets that are poorly specified, maintained or monitored can lock in higher environmental impact over their lifecycle, increasing long-term sustainability risk.

Managing sustainability risk within compliance and governance frameworks

A structured sustainability management system helps organisations:
- Integrate sustainability with asset, maintenance and compliance processes
- Maintain consistency across buildings and estates
- Demonstrate clear ownership and accountability
- Provide reliable, auditable sustainability data
- Reduce compliance and governance risk
Assets & Compliance Managed Services enables organisations to manage sustainability as an ongoing operational risk, rather than a one-off reporting exercise, supporting stronger governance and long-term control.
Frequently Asked Questions
How does ACMS help organisations manage sustainability risk?
Assets & Compliance Managed Services provides sustainability risk management services through a centralised system for managing environmental risk across buildings, assets and estates.
It allows organisations to bring sustainability data, responsibilities and actions into one place, making it easier to monitor performance, maintain oversight and demonstrate control. This reduces reliance on spreadsheets and disconnected tools and supports a more consistent approach to sustainability risk management.
What sustainability and environmental data can be managed in ACMS?
Assets & Compliance Managed Services supports the management of a wide range of sustainability and environmental information, including energy and resource data, environmental performance metrics, compliance records and supporting evidence.
By linking this information to specific assets and locations, Assets & Compliance Managed Services helps organisations understand where risks exist and where action is required.
How does ACMS support environmental compliance and reporting?
Assets & Compliance Managed Services helps organisations maintain clear records, audit trails and evidence related to environmental and sustainability obligations.
This supports internal governance, external reporting and audit requirements, making it easier to respond to compliance checks, information requests and stakeholder scrutiny with confidence.
Can ACMS be used across multiple buildings or estates?
Yes. Assets & Compliance Managed Services is designed to support organisations managing multiple buildings, sites or estates.
The system provides a consistent framework for managing sustainability risk across portfolios, while still allowing asset-level detail and accountability. This helps organisations maintain control as estates grow or become more complex.
How does ACMS reduce the risk of fragmented sustainability management?
Fragmentation is one of the biggest sustainability risks. Assets & Compliance Managed Services reduces this by centralising data, assigning responsibility and linking sustainability management to wider asset and compliance processes.
This approach improves visibility, reduces duplication and helps ensure sustainability risks are actively managed rather than passively reported.
How does sustainability management in ACMS integrate with other compliance areas?
Sustainability management in Assets & Compliance Managed Services sits alongside other risk areas such as asset management, fire safety, asbestos and legionella compliance.
This integrated approach supports better coordination, clearer governance and a more complete understanding of organisational risk, rather than treating sustainability as a standalone activity.
Who typically uses ACMS for sustainability risk management?
Assets & Compliance Managed Services is used by those responsible for managing buildings, estates and compliance, including property managers, facilities teams, health and safety managers and senior responsible persons.
The system supports both day-to-day management and higher-level oversight, helping organisations demonstrate accountability at every level.

What people say
We started using Vision to transfer our fire log book records from paper to electronic. Vision is flexible enough for the audit forms to replicate the paper version and was therefore very simple for our store teams to switch. This provided us real time information on compliance but also cut down on excessive use of paper.
The transition was so successful that we transferred all our Health and Safety audits and inspections onto the same Audit software platform.”

Vision has revolutionised the way asbestos data is stored and utilised within the organisation. We are now able to provide surveyors and contractors with remote access to the system which enables them to directly update the data on site. Previously we received the documents in PDF format and someone had to manually transfer the information onto the server based system.
As part of the process Assets & Compliance Managed Services conducted a full data cleanse of all the asbestos management documents to ensure the quality of the existing data. This helped us to quickly identify any gaps or errors, allowing necessary works and surveys to be scheduled more productively.

We now manage and maintain our emergency lighting across the campus via the Vision-tag. Our Maintenance Department simply scan the tag using a mobile device and are able to view and/or edit the data presented at site level.
It gives us a comprehensive and immediate overview and with the uploading of schedules and documentation, Maintenance are always in complete control of these assets and their operational status
