Compliance & Estates Management Solutions for the Education Sector

Education estates teams operate under constant pressure. From primary schools to multi-academy trusts managing dozens of sites, the responsibility to maintain safe, compliant learning environments is constant.

Ageing buildings, limited in-house resources, funding constraints, and increasing governance scrutiny make compliance management ever more complex. Records must be accurate. Risks must be visible. Trustees and senior leaders need clear oversight.

ACMS UK supports education providers with structured estates compliance management across single and multi-site portfolios — giving estates leaders confidence, clarity and control.

Compliance Registers

Accurate, audit-ready registers supporting statutory compliance across schools and campuses.

Compliance Audits

Consistent building and room-level audits with clear inspection and maintenance records.

Risk Oversight

Portfolio-wide visibility of compliance risks to support prioritisation and control.

Compliance Reporting

Structured reporting that supports governance, assurance and trustee oversight.

The Compliance Challenges Facing Education Estates

Education estates experience a unique combination of operational and governance pressures.

Multi-Site Portfolio Oversight

Multi-academy trusts and education groups often inherit buildings with inconsistent records and varying compliance standards. Central teams must manage risk across geographically dispersed sites while maintaining visibility at trust level.

Without a structured system, compliance becomes fragmented and reactive.

Ageing Buildings & Asset Visibility

Many school estates include older buildings where asset information is incomplete or inaccurate. Missing asset registers, outdated drawings and inconsistent inspection histories increase risk exposure.

Accurate asset verification is essential to effective compliance management.

Budget Pressures & Risk Prioritisation

Capital and revenue funding is limited. Estates teams must prioritise statutory compliance while planning long-term maintenance and lifecycle investment.

Risk-based decision making becomes critical.

Audit Readiness & Governance Requirements

Trustees, governing bodies and funding authorities require clear evidence of compliance. Education providers must demonstrate structured oversight, documented risk assessments and defined action plans.

Compliance cannot rely on spreadsheets and disconnected reports.

How ACMS Supports Education Providers

ACMS delivers integrated estates compliance management tailored to education environments. We provide a structured framework that replaces fragmented processes with centralised oversight and clear reporting.

Estates Compliance Management

We coordinate and manage statutory compliance across your estate, ensuring clear visibility of obligations, inspection schedules and risk status at both site and portfolio level.

Asset Auditing & Verification

Our site-based asset audits establish accurate, validated asset registers. Each asset is uniquely identified, verified and recorded, forming the foundation for effective compliance and lifecycle planning.

Fire, Asbestos & Water Risk Assessments

We deliver and manage statutory risk assessments consistently across portfolios, ensuring risks are identified, documented and prioritised in line with regulatory requirements.

Condition Surveys & Lifecycle Planning

Our condition surveys provide clear insight into building fabric and M&E systems, supporting capital planning, lifecycle forecasting and funding applications such as CIF bids.

Compliance Reporting & Governance Dashboards

We provide structured reporting aligned to trustee and board-level oversight. Estates teams gain operational clarity, while senior leaders receive high-level risk visibility and assurance.

Our Structured Approach to Education Compliance

We follow a defined, risk-led methodology designed for multi-site portfolios.

1. Baseline Audit & Gap Analysis

We assess current compliance position, verify assets and identify gaps. This establishes a clear starting point across your entire estate.

2. Risk Classification & Prioritisation

All findings are categorised by risk level, enabling informed decisions aligned to budget cycles and operational priorities.

3. Remedial Planning & Coordination

We develop structured action plans to address identified risks, helping estates teams manage works in a controlled and prioritised manner.

4. Ongoing Monitoring & Reporting

Compliance is continuously tracked and reported through central dashboards, providing clear oversight and audit-ready documentation.

Frequently Asked Questions

We provide centralised compliance oversight across all schools within a trust, regardless of size or geographic spread.

Our approach starts with establishing accurate, verified asset registers at each site. From there, we implement a structured compliance framework that standardises processes across the portfolio while still allowing for site-specific differences.

Trust estates can view compliance status by school, by risk category, or across the entire trust. This provides clarity at the operational level and reassurance at the trustee and board level. As trusts grow through mergers or new school additions, our framework scales with them, maintaining consistency and control.

Yes. Audit readiness is a core part of our approach.

We ensure that statutory risk assessments, inspection records and remedial actions are clearly documented and centrally accessible. Our reporting structure provides a transparent record of compliance activity, outstanding risks and planned actions.

This means when internal auditors, trustees or external bodies request evidence, estates teams can demonstrate:

  • What risks have been identified
  • How have they been prioritised
  • What actions have been taken
  • What remains planned

Rather than reacting to audits, you maintain continuous oversight and documented assurance.

Yes. We carry out detailed condition surveys covering building fabric and mechanical and electrical systems.

Our reports provide structured, prioritised findings supported by lifecycle insight and cost considerations, helping education providers justify investment decisions.

For trusts applying for Condition Improvement Fund (CIF) support or planning capital works programmes, this evidence base strengthens funding submissions and supports long-term estates strategy.

Absolutely. We are not a replacement for internal estates or facilities teams. We enhance their capability.

Many education providers have small estates teams responsible for multiple sites. We provide a structured compliance management framework, asset validation, and reporting oversight, allowing internal teams to focus on operational delivery and site management.

We can integrate with existing contractors and workflows, providing clarity and structure without disrupting established processes.

We start by establishing a clear baseline across the estate through asset verification and compliance gap analysis. Once validated, all compliance obligations are structured within a centralised system that tracks inspections, risk assessments and remedial actions.

This allows estate leaders to:

  • Monitor compliance status at the individual school level
  • Compare risk profiles across sites
  • Identify recurring issues
  • Prioritise investment strategically

By replacing fragmented spreadsheets and disconnected reports with consistent oversight, trusts gain portfolio-wide visibility and control.

What people say

We started using Vision to transfer our fire log book records from paper to electronic.  Vision is flexible enough for the audit forms to replicate the paper version and was therefore very simple for our store teams to switch.  This provided us real time information on compliance but also cut down on excessive use of paper.

The transition was so successful that we transferred all our Health and Safety audits and inspections onto the same Audit software platform.”

Vision has revolutionised the way asbestos data is stored and utilised within the organisation. We are now able to provide surveyors and contractors with remote access to the system which enables them to directly update the data on site. Previously we received the documents in PDF format and someone had to manually transfer the information onto the server based system.

As part of the process Assets & Compliance Managed Services conducted a full data cleanse of all the asbestos management documents to ensure the quality of the existing data.  This helped us to quickly identify any gaps or errors, allowing necessary works and surveys to be scheduled more productively.

We now manage and maintain our emergency lighting across the campus via the Vision-tag. Our Maintenance Department simply scan the tag using a mobile device and are able to view and/or edit the data presented at site level.

It gives us a comprehensive and immediate overview and with the uploading of schedules and documentation, Maintenance are always in complete control of these assets and their operational status
